Terms and Licence
What you may do with Comment Navigator, what is promised about it, and what happens if something goes wrong. Written to be read, not to be skipped.

The short version. Comment Navigator is free to use, for any purpose, for as long as you like: the review pane and exporting comments to Excel cost nothing. The Pro features are paid, and they are free for 14 days starting the first time you use one. One purchase gives one person a permanent licence to Pro on up to two computers. Minor updates are included; major upgrades are offered at a discount. Your documents are processed on your own computer and never uploaded. Ask for a refund within 30 days if it disappoints. The software is provided as it is, and if it ever costs you anything, the most that can be claimed back is what you paid for it.
1Who you are dealing with
Comment Navigator is made and licensed by STRUCTURES.LV SIA, a limited liability company registered in Latvia under number 41203065119, VAT number LV41203065119, with its registered office at Džohara Dudajeva gatve 11 – 72, Rīga, LV-1084, Latvia (“we”, “us”). You can reach us at support@wordcomments.com.
Payment is not taken by us. Our order process is run by Paddle.com Market Ltd, which is the merchant of record for every purchase: Paddle sells the licence to you, charges you, handles VAT and sales tax, and is the party named on your receipt. Your purchase is therefore also subject to Paddle’s Buyer Terms. Where those terms and these ones disagree about payment, billing or tax, Paddle’s terms win. Everything on this page about how you may use the software is between you and us.
Comment Navigator is an add-in for Microsoft Word. It is not made, endorsed or supported by Microsoft.
By installing or using Comment Navigator you accept these terms. If you do not accept them, uninstall the software and do not use it.
2The free version and the Pro trial
Without a licence key you may install and use Comment Navigator free of charge, on any number of computers, for any purpose, personal or commercial, with no time limit. The free version includes the review pane (numbered comments and replies, search, filters, Go to #, replying and resolving) and exporting comments to Excel.
Tracked changes in the pane and exports, the Word review log, importing responses from Excel, anonymised copies and folder export are Pro features. On each computer they are available without a key for 14 days, counted from the first time you use one of them, so you can try them on a real review round. No payment details are needed for this, and nothing is charged when the 14 days end — Comment Navigator simply carries on as the free version until a key is entered. The trial is offered once per computer.
You may pass the unmodified installer on to others free of charge; section 5 covers everything else.
3What your Pro licence allows
When payment completes you receive a licence key by email. That key grants you a permanent, worldwide, non-exclusive licence, which does not expire, to:
- install and use Comment Navigator Pro on up to two computers that you personally work on — typically a work machine and a home machine;
- use it for any purpose, personal or commercial, including on the documents of the company you work for;
- install any later version of Comment Navigator that your key continues to unlock (see section 4).
A licence covers one person on up to two computers — not one company, and not a machine shared between colleagues. If you replace a computer, the licence moves with you: uninstall it from the old one and the replacement does not count as a third.
Comment Navigator does not check how many machines a key has been used on, and it makes no network call when it validates: the check happens entirely on your own computer. That is a deliberate design choice, so the software keeps working on locked-down corporate networks and through any outage on our side. The two-computer limit is therefore a matter of trust rather than enforcement, and we would rather say so plainly than pretend to a check we do not perform.
If several people at an organisation will use Comment Navigator Pro, buy a licence for each of them. For five or more, write to us and we will arrange a single invoice.
4Updates and upgrades
Minor updates and fixes (for example from version 1.2 to 1.3) are included at no extra cost, and your key unlocks them. A new major version (for example 2.0) may be sold as a paid upgrade; if it is, holders of an earlier key will be offered it at a discount. Your key keeps working, permanently, on every version it already unlocks — a licence you have bought is never taken away. We are not promising any particular update, any release schedule, or that the software will be developed indefinitely.
5What your licence does not allow
You may not:
- share, publish, sell, rent, sub-license or give away your licence key, or use a key you were not issued;
- sell or charge for Comment Navigator, modify its installer, or bundle it into another product, without our written agreement;
- work around, disable or tamper with the trial or the licence check, or otherwise unlock the Pro features without a key;
- remove or alter any copyright, author or licence notice in the software;
- decompile, disassemble or reverse engineer the software, except exactly as far as applicable law permits despite this restriction — in the EU that includes the interoperability rights under Directive 2009/24/EC, which these terms do not attempt to remove.
Comment Navigator is licensed to you, not sold to you. We keep all copyright and other intellectual property in it. You keep everything in your own documents: using our software gives us no rights over your files whatsoever.
6Refunds
If Comment Navigator Pro is not what you hoped, tell us within 30 days of purchase and we will refund it in full. No reason needed, no forms. Email support@wordcomments.com from the address you bought with, or claim it directly through Paddle. The refund is made by Paddle, to the payment method you used.
This is offered on top of your legal rights and does not affect them. If you are a consumer in the EU or UK you normally have 14 days to withdraw from a distance purchase; because the licence key is delivered immediately, that right is exercised through the same route, and our 30-day promise is the longer of the two in any case.
7No warranty
Comment Navigator is provided as it is. We have tested it and we use it ourselves, but we do not warrant that it will be uninterrupted or error-free, that it will work with every version of Word, every other add-in, or every document, or that it will meet any particular requirement of yours. To the fullest extent the law allows, all implied warranties and conditions are excluded.
Please keep backups. Comment Navigator can add replies, resolve and reopen comments and import responses into an open document, because that is what it is for. Those are changes to your own file. Word’s Undo reverts an import in one step, but work the way you would with any tool that edits your documents, and keep a copy of anything you cannot afford to lose. Exporting never changes the document.
8Anonymised copies
The Pro “anonymise” feature writes a copy of the document in which the reviewer names, initials and dates recorded in the metadata of comments, replies and tracked changes are replaced or removed. It changes that metadata only. Names or other personal details written in the body text of the document, and @mentions or names typed inside the text of a comment, are not changed. Other places a document can carry personal information (document properties, hidden text, embedded objects, file names) are outside what this feature does. Check the copy before you send it; you remain responsible for what it contains.
9Liability
To the fullest extent permitted by law, our total liability to you for everything arising out of Comment Navigator or these terms is limited to the amount you actually paid for your licence.
We are not liable for indirect or consequential loss, loss of profit, loss of business or revenue, loss of anticipated savings, or loss of or damage to data, however arising.
Nothing in these terms limits or excludes liability that cannot lawfully be limited or excluded — including liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, and, if you are a consumer, any of your mandatory statutory rights.
10Support
Support is by email at support@wordcomments.com. Lost your key? Email us from the address you bought with and we will send it again.
11Ending the licence
Your licence lasts indefinitely. It ends only if you materially breach section 5 — for example by publishing your key — and do not put it right within 14 days of us asking you to. If it ends, you must stop using Comment Navigator Pro and uninstall it. You may end it yourself at any time by uninstalling, which does not by itself entitle you to a refund outside section 6.
12Your data
Comment Navigator reads and changes your documents inside Word, on your own computer. It
never uploads them, sends no telemetry, needs no account, and none of your document
contents ever leave your computer. Your licence key, trial start date and pane settings
are kept in HKEY_CURRENT_USER\Software\CommentNavigator\State, a second copy
of the trial start date in %LOCALAPPDATA%\CommentNavigator\state, and a
diagnostic log, which never contains document text, in
%LOCALAPPDATA%\CommentNavigator\logs\commentnavigator.log. All of it stays on
your computer. Uninstalling removes the log but keeps the rest, so that reinstalling or
upgrading does not cost you your licence. To remove everything, delete that registry key
and the %LOCALAPPDATA%\CommentNavigator folder.
What we hold is only what a purchase creates: your name, your email address and the key we issued you. The privacy policy sets out all of it.
13Changes to these terms
We may update these terms for future purchases. The version in force on the day you bought is the version that governs your licence, and the date at the top of this page tells you which that is. We will not change your terms retrospectively. If you want a copy of the version you bought under, ask us for it.
14Law and disputes
These terms are governed by the laws of Latvia, and the courts of Latvia have jurisdiction. If you are a consumer, this does not deprive you of the protection of the mandatory consumer law of the country you live in, and you may also bring proceedings in your own country’s courts. EU consumers can use the European Commission’s online dispute resolution platform, though emailing us first is very likely to be faster.
